Law Clerk – Litigation / Practice Support Position Type: Full-time, Hybrid Firm: Stieber Berlach LLP – downtown Toronto insurance defence firm offering a relaxed atmosphere with competitive salary and benefits. As a result of our continued growth, we are expanding our team and are seeking an experienced Law Clerk to fill this newly created position. Position Summary The Law Clerk provides direct, time-sensitive litigation and practice support to assigned lawyers. The role requires consistent in-office presence to meet court-driven deadlines, collaborate with legal professionals and support staff, manage physical and electronic files, and respond promptly to evolving matters. The ideal candidate will be outgoing and professional with superior clerical and organizational skills, with precise attention to detail and accuracy. The candidate will possess strong verbal and written communication skills, be able to prioritize and juggle several tasks simultaneously. Essential Duties and Responsibilities Litigation and File Management (Time-Sensitive) Prepare, review, file, and serve pleadings, affidavits, motion materials, correspondence, and court documents in accordance with strict procedural deadlines. Prepare documents, pleadings, claims, motion materials, affidavits of documents, mediation, bills of costs and pre-trial memoranda. Assist with preparation for examinations for discovery, including document organization and exhibit preparation. Monitor limitation periods, court deadlines, undertakings, and follow-ups, ensuring all timelines are met without exception. Maintain accurate, up-to-date physical and electronic files, including filing and version control within firm systems. Ensure compliance with undertakings given at discovery and organize and evaluate materials received in response to undertakings. Manage electronic data for Discovery and Trial. Liaise with court staff, process servers, opposing counsel, and lawyers as required. Organize and maintain litigation files, including briefing file material and ensuring completeness and accuracy. Summarize transcripts of examinations for discovery and prepare lists of undertakings and refusals. Preparation of medical and litigation summaries. Trial preparation. Drafting mediation and settlement conference briefs. In-Office Collaboration and Support Work closely with assigned lawyers and assistants in real time to respond to urgent requests and shifting priorities. Participate in in-person discussions regarding file strategy, scheduling, and workflow coordination. Retrieve, prepare, scan, and manage physical documents, exhibits, and records maintained on-site. Provide in-office coverage during core business hours to ensure continuity of service to lawyers and clients. Workflow Management and Productivity Expectations Manage a high-volume workload with competing priorities, often requiring immediate turnaround. Demonstrate consistent ability to meet required timelines, including same-day or short-notice requests. Proactively identify upcoming deadlines and workload pressures and escalate issues in advance. Maintain productivity levels consistent with a full-time role during core working hours. Administrative and Practice Support Draft correspondence and legal documents with accuracy and attention to detail. Enter and maintain docketing, scheduling, and task tracking in firm systems. Coordinate filings, meetings, and calendars in alignment with lawyers’ schedules. Communicate with clients, experts, court offices, and other parties to obtain procedures, records, and required information. Assist in the overall management of the litigation practice. Work Location and Attendance Requirements (Essential Requirement) This role requires regular in-office attendance in accordance with the firm’s hybrid work policy. Full-time remote work is not compatible with the operational requirements of this position, given the need for in-person collaboration, access to physical files, and immediate responsiveness to time-sensitive matters. Temporary or limited flexibility may be considered on a case-by-case basis, subject to operational needs and performance requirements. Performance Standards Demonstrated ability to meet deadlines consistently and independently. Strong organizational and time-management skills. Reliability in attendance and availability during core business hours. Ability to perform the duties of the role at a sustained, full-time capacity. Ability to process a high volume of documentation with excellent attention to detail and accuracy. Qualifications Law Clerk diploma or equivalent experience. Law Clerk Diploma from a recognized Community College or an Institute of Law Clerks of Ontario (ILCO) Certificate. Minimum 2-5 years’ experience in a litigation law firm; insurance defence experience preferred. Solid understanding of the Rules of Civil Procedure and court practices at various levels Proficiency with legal practice management and document management systems. Strong typing and computer skills, including proficiency in MS Word, Outlook, and Windows-based applications. Strong written and verbal communication skills. Well organized, outgoing, professional, and able to prioritize and juggle multiple tasks simultaneously. Strong investigative, fact-finding, and problem-solving skills. Ability to work independently and collaboratively in a team environment. Efficient docketing and time management skills with a commitment to excellence and detail. Knowledge of Summation, Eclipse, iManage, and other industry-standard litigation support software is an asset. Compensation for this role ranges from $70,000–$85,000 annually, and will be determined based on experience and qualifications. Only those selected for an interview will be contacted.
